Role positioning
This role is not only operational but plays a central role in team cohesion, communication flow, and organizational efficiency. The Team Assistant acts as a trusted partner to leadership, a
reliable point of contact for the broader organization, and a key contributor to an inclusive, collaborative, and well?functioning team environment.
Responsibilities:
- Arrange domestic and international travel for management and foreign visitors, including hotel booking, logistics coordination, and team expenses reimbursement (GEC & TEC).
- Support SE GS CN and SE FIN GS CN teams in Beijing (~50 members) with daily administration, including shared folder and group mailbox maintenance, meeting preparation, business event support, and sales contract / PO tracking and archiving.
- Manage office supply demand, place purchase requests, and conduct stock management to ensure efficient control of department office expenses.
- Oversee office operations including workspace coordination and meeting room management, collaborating closely with Real Estate and EHS.
- Provide end-to-end support for team events, team building activities, and training sessions, ensuring smooth logistics and high-quality execution.
- Handle internal and external communications including department/group mailboxes, SharePoint, website, Yammer, Wiki, and shared folder documentation.
- Support employee onboarding and offboarding processes with a caring and service-oriented approach.
- Proactively identify opportunities to improve admin processes, simplify workflows, and enhance team experience.
- Perform other responsibilities assigned by the supervisor or the company.
Qulifications:
- 3–5 years administrative experience in an international working environment, or fresh graduates seeking a stable and friendly working environment.
- Strong service and caring mindset, with genuine
interest in supporting team members and contributing to a positive workplace
environment.
- Creativity and initiative, with the ability to design engaging team activities, improve administrative workflows, and propose innovative solutions.
- Exceptional organizational skills, with structured working style and strong attention to detail.
- Excellent multitasking ability and strong coordination skills.
- Strong problem-solving capability and resilience under pressure.
- University degree, fluency in written and spoken English.
- Proficiency in Windows and Office tools (Excel, PowerPoint, Word, PDF). VBA, Power BI, or Tableau skills preferred.
