Job Summary:
We are seeking a highly organized, discreet, and proactive Personal Assistant (PA) to support the General Manager (GM) in day-to-day operations. The PA will play a critical role in ensuring the GM’s time is managed effectively, communication is clear, and follow-up on tasks and projects is consistent. This role includes live translation support (Chinese to English) during meetings and requires high standards of confidentiality, initiative, and attention to detail. Knowledge of Vietnamese is a strong advantage.
Key Responsibilities:
? Executive Support:
o Manage the GM’s calendar, schedule meetings, appointments, and travel.
o Organize business trips, including visa arrangements, flights, accommodation, and itineraries.
o Ensure the GM is well-prepared for meetings and events.
? Language & Communication:
o Provide real-time translation support from Chinese to English (and vice versa) during meetings, calls, and document reviews.
o Translate written communications and reports when required.
o Vietnamese language skills are a plus.
? Information & Email Management:
o Review and filter the GM’s incoming emails and correspondence.
o Summarize key points and highlight action items for the GM’s attention.
o Draft and respond to emails on behalf of the GM as requested.
? Project & Task Coordination:
o Track follow-ups and deadlines from meetings and ensure timely execution by involved parties.
o Liaise with department heads and direct reports to monitor progress on key initiatives.
o Maintain and update action item lists and project trackers.
? Confidential Administrative Support:
o Handle sensitive information with the highest level of confidentiality and discretion.
o Prepare confidential reports, presentations, and documentation.
o Act as a gatekeeper and manage internal and external requests.
Chasel Chen:
Qualifications:
? Bachelor’s degree or equivalent experience.
? Fluency in Chinese and English (spoken and written) is mandatory.
? Vietnamese language skills are a strong advantage.
? Minimum of 5 years’ experience as a personal or executive assistant, preferably in a bilingual environment.
? Excellent organizational and time-management skills.
? High level of integrity, discretion, and professionalism.
? Strong communication and interpersonal skills.
? Proficient in Microsoft Office Suite and modern communication tools.
